Employees of Kotopas authorised to use register information can give information allowed by law from the register.

1. List of residents and customers
2. Management of affairs relating to residence and customer relationships
4. Data content of register (purpose of register)
1. Flat details
2. Tenancy period
3. Last name and first name of resident
4. Date of birth
5. Personal identity number
6. School and study information
7. Information on spouse living in the same flat
8. Names of children
9. Contact information: telephone number and e-mail address
10. Additional data required by housing authorities from those living in rented housing which obtains housing finance
11. Rent accounts ledger data
12. When the resident has moved in
13. When the resident has moved out
5. Parties to whom data is surrendered, and transfer of data to outside the EU or EEA
1. To the Board of Directors, employees and auditors of Kotopas for the management of their duties.
2. To the resident of the flat in question at his/her request, for instance for applying for housing allowance.
3. To the Social Insurance Institution of Finland (KELA) for the payment of student housing allowance and housing allowance (KELA requires the use of personal identity number as identification information).
4. To the housing authority of the City of Kotka for the verification of right of residence data.
5. Moreover, data can be submitted to authorities such as police and rescue authorities.
6. Each resident/customer has the right to obtain information on him/her contained in the register.
7. No data is transferred regularly to outside the EU or EEA.
6. Principles of register protection
The Managing Director takes care of the appropriate protection of the register so that the data can only be changed by persons authorised to do so.
